The basics

Q. How easy is Clubz to set up?

A. Very! Clubz will guide you through the set-up process, and we also have video guides and manuals to help. If you’re still unsure, our support team is on hand to get you going. For larger clubs, we also offer a free set-up service.

Q. Do I need to install anything to use Clubz?

A. No. While dedicated iOS and Android apps are available, Clubz is designed to work on all devices and can simply be used in your internet browser without any need to download or install anything. For running online sessions/classes, Clubz integrates with Zoom, so the instructor would need to use the Zoom application to manage the class.

Q. What are the benefits of using Clubz when we cannot run physical sessions?

A. There are lots! You can deliver online training sessions to your members (both live and on demand), allowing you to keep members active, engaged and connected. You can also charge for these sessions, allowing you to maintain an income.

Q. Do I have to commit to a contract to use Clubz?

A. No, not at all! We have a free subscription plan with all the features you need to manage your club. Our paid subscription plans include additional features and are billed monthly and you can cancel or change your plan at any time.

Q. Can my instructors/coaches use Clubz?

A. Yes. We have a manager role that allows your instructors/coaches to use the system to record and check attendance, review notes, check emergency contacts and manage users for their sessions.

Q. Can I set up sessions/classes for particular groups and levels?

A. Yes. All sessions can be limited to age ranges and levels, which you can define for your own club to only permit members with certain grades, abilities, etc. You can also group your members using the squads feature, which allows you to create sessions that are only available to squad members.

Q. Can parents access Clubz?

A. Yes. A parental user can be added for any club member, and they are also able to manage multiple children. The parent is able to log in to manage the accounts of their children and pay any fees due.

Q. Can you access Clubz from a phone?

A. Yes, either using your phone’s browser or the dedicated apps for iOS or Android. Clubz is designed to work on all devices, so you can use it on your phone, tablet or computer. The apps also have an offline feature, allowing you to use them without internet access. The data will sync once your device has connected to the internet.

Q. I am really busy. Will Clubz save me time?

A. Absolutely! Once you are set up with Clubz, managing attendance, fees and members is simple and straightforward. The system notifications are designed to show you the most important information, such as overdue fees, upcoming sessions and memberships that are due. We have found that using Clubz saves time and money through simplifying admin and reducing the need to chase missed fees.

Q. How does Clubz benefit my members?

A. Your members can access Clubz to see their sessions, book classes, and receive important updates about fixtures or changes to sessions. They can also see their progress towards their next grade or level, and you can even set up achievements and awards to keep them motivated and engaged. During the current situation, it is a great way for your members to stay connected and inspired, helping both their mental and physical health.

Q. How much does Clubz cost?

A. We know that every club is different, which is why we’ve created a range of plans (including a free to use plan), allowing you to choose the most suitable option for your needs. You can view the full details of our subscription plans on our pricing page. For any member transactions made through the site, there is a card processing fee, which is currently 20p + 1.4% and is deducted by our payment processor. For free, Bronze and Silver plans, we also charge an additional amount on this. See the pricing page for further details about fees.


Q. Can members make payments through Clubz?

A. Yes. Members can make online payments through Clubz for all fees associated with your club, such as sessions, monthly fees and annual memberships. The system automatically sends out weekly reminders to members, as well as a summary of fees due to club administrators.

Q. Can I use Clubz to manage my club finances?

A. Yes. As well as keeping an overview of sessions and monthly/block fees, you can also record any expenses related to the club, or any other fees that you may charge members, such as for equipment or competition entry fees. Clubz will also allow you to see an overview of the club with profitability and annual summary reports.

Q. Can Clubz send out messages and reminders?

A. Yes. As well as sending out automated reminders about renewals, fees due and sessions, you can also send messages to individuals, groups or all members. Messages can be sent to the user’s registered email or by SMS either on demand or scheduled in advance.

Q. How secure is Clubz?

A. It is very secure. Clubz uses 128-bit SSL and all of the data is encrypted.

Q. I run a number of clubs. Can I manage all of these through a single Clubz account?

A. Yes. You can set up multiple clubs in different regions or areas, each of which will have its own individual profile within your Clubz account, making them easy to manage. Contact our support team for more details.
